Position Title: Arts Administrator

Organization: Mid-West Arts Council (MWAC)
Job Type: Part-Time (20 hours per week (set office hours of Monday, Wednesday, Friday from 12:00-3:00 pm, other hours are flexible)
Rate of Pay: Negotiable, depending on experience


About the Mid-West Arts Council

The Mid-West Arts Council (MWAC) is a non-profit organization dedicated to promoting appreciation for and involvement in the visual, performing, and literary arts throughout the Mid-West region. MWAC develops and delivers diverse, high-quality programming designed to enrich the cultural life of the communities it serves.

Position Summary

Reporting to the Board of Directors, the Arts Administrator is responsible for the operational, administrative, and financial management of the organization. The Arts Administrator oversees planning, coordination, and implementation of arts programming, marketing, and community outreach initiatives, and plays a key role in fundraising, budgeting, and partnership development.

Key Responsibilities

Administrative & Office Management

  • Oversee the day-to-day operations of the organization and maintain accurate financial and administrative records.

  • Manage office functions including correspondence, scheduling, filing, and reporting.

  • Use QuickBooks to manage financial tracking, budgets, and reporting.

  • Ensure the building is maintained, safe, and welcoming for visitors.

Program Coordination

  • Assist Committees to Plan, develop, and implement arts programs, workshops, exhibitions, and community events.

  • Coordinate instructors and volunteers involved in programming.

  • Communicate with artists, vendors, and stakeholders to ensure successful events and exhibitions.

  • Evaluate and report on program outcomes and participation levels.

Marketing & Networking

  • Promote events and programs to help boost attendance and community participation.

  • Maintain and update social media platforms, website, Leader articles and email communication.

  • Network with individuals, community groups, and partner organizations to build relationships and expand outreach efforts.

Fundraising & Grant Writing

  • Research, write, and manage grant applications to secure funding from government, foundations, and corporations.

  • Plan and execute fundraising events, sponsorship initiatives, and donor relations activities.

  • Develop and manage program and event budgets.

Board & Committee Support

  • Provide administrative support to the Board of Directors and committees.

  • Prepare reports, meeting agendas, and correspondence as required.

  • Work with the Board to meet monthly priorities.

Qualifications

  • Excellent written and oral communication skills.

  • Strong organizational, administrative, and time-management abilities.

  • Proficient in social media platforms.

  • Experience with QuickBooks, Canva, Microsoft Suite or Open Office. Studio Director considered an asset.

  • Experience organizing and facilitating programs, events, or exhibitions.

  • Ability to work independently and collaboratively with a small team.

  • A welcoming, professional, and flexible approach to community engagement.

Assets

  • Post-secondary education or related experience in Administration, Management, Business, or a related field.

  • Experience in grant writing, project management, and fundraising.

  • Interest in visual, performing, or literary arts.

  • Experience networking with artists, organizations, and community groups.
